Booking your wedding photographer in Poland is an important step in securing your wedding date. The booking confirms the vendor’s availability, while the contract sets out the terms of your cooperation.

In this guide, we explain how booking works with SL Wedding Photo, what to look for in a wedding photography contract, and which steps and details are worth paying attention to before signing.

Reservation and Contract: Why They Matter

Booking a wedding photographer in Poland ensures that your date is reserved and the service is agreed upon in advance. Check whether your contract also guarantees a suitable replacement at no extra cost if an emergency prevents the photographer from attending. This protection is only guaranteed if it is included in the contract, so make sure to read the terms carefully.

What else should you check in your wedding photography contract?

1️⃣ Payment terms and deadlines

The contract should specify how much you need to pay, when payments are due, and which payment methods are accepted.

At SL Wedding Photo, we require a 20% booking deposit, with the remaining balance payable by bank transfer no later than two days before the wedding or in cash on the wedding day.

*We have a fiscal cash register and can issue an invoice upon request.

2️⃣ Delivery time and format

Check the deadlines for both the preview photos and the complete wedding gallery, as well as how the photographs will be delivered.

At SL Wedding Photo, we provide an online gallery and printed photographs selected by the couple.

3️⃣ Printed photographs and keepsake box

Check how many prints are included, their format, and what comes with them.

Our package includes a keepsake box with printed photographs and a USB drive.

4️⃣ Online gallery access and backup

Find out how long your wedding gallery will remain available and how you can back up your photographs.

Our online gallery is available for one year from the delivery date. During this time, you should download your photographs. We also provide a USB drive in a keepsake box as an additional backup.

5️⃣ Photo publication and privacy

The contract should explain whether the photographer can use your wedding photographs for their portfolio, website, or social media.

The SL Wedding Photo contract includes the Standard option, which allows us to publish selected photographs in our portfolio. For couples who value their privacy, we also offer the Private option, which comes with a 20% surcharge on the selected package.

6️⃣ Working with other wedding vendors

Check the arrangements for working alongside videographers and content creators.

Our contract specifies that SL Wedding Photo is the only photography provider at your wedding, whether you book one photographer or our two-photographer team. This helps us work efficiently without other photographers interfering with our shots or disrupting the flow of the day.

We are happy to collaborate with videographers and content creators so that you can enjoy a rich collection of memories in different formats.

7️⃣ Addresses, postcodes, and phone numbers

Make sure the contract contains the correct contact details and addresses, including postcodes and phone numbers, for both parties.

Check the locations for the preparations, church ceremony, and wedding reception. Accurate details help ensure that your photographer arrives at the right place on your wedding day.

8️⃣ Special requests and preferences

Wedding photographers usually have their own style and a consistent approach to editing. However, if you have specific preferences, such as more black-and-white photographs or no black-and-white images at all, ask whether these can be included in the contract’s notes or special requests section.

At SL Wedding Photo, we encourage couples to share their preferences in advance so that we can take them into account.

9️⃣ Cancellation terms

Read the cancellation policy carefully, including what happens to the booking deposit if you cancel the wedding or the photography service.

At SL Wedding Photo, the booking deposit is non-refundable, in accordance with our contract.

🔟 RAW files

If you expect to receive unedited RAW files, check whether they are included in the package.

At SL Wedding Photo, we do not provide RAW files. We deliver carefully selected and edited jpg photographs that reflect our photographic style.

What Is the Best Time to Book a Wedding Photographer?

If you’re planning a wedding in Poland, booking your wedding photographer around a year in advance is a good starting point, especially if you’ve chosen a popular date during the wedding season.

However, some couples book even earlier. For example, we booked a wedding at Zamek Rzucewo for 6 June 2026 (06.06.2026) almost two years in advance. If you already know your wedding date and dream of a particular venue, it’s worth getting in touch as early as possible.

Booking early is especially important if you’d also like to arrange a pre-wedding couple session, such as a love story shoot, before your wedding day.

Still, don’t worry if your wedding is only a few months away. We sometimes have dates available at shorter notice, so feel free to contact us and ask about our availability.

Wedding Photographer Reservation: 5 Steps Explained

1. Research the photographer

Start by learning more about the wedding photographer you’re considering. Check their website, reviews, Instagram posts, behind-the-scenes content, and tagged photos to get a better idea of their style, experience, and how they work with couples.

2. Request a wedding photography offer

Ask for a detailed offer that includes the available packages, prices, what’s included, booking terms, and examples of complete wedding galleries. If the photographer has already worked at your chosen venue, ask whether they can share a real wedding gallery from that location.

💡Tip: To receive an accurate answer quickly, include your wedding date, venue, approximate number of guests, and a rough outline of the day. Mention whether you plan to get ready at home or in a hotel, have a church ceremony or an outdoor wedding ceremony, or include additional attractions such as fireworks. You don’t need to have every detail finalized yet.

3. Get to know the photographer

If you like the offer but still have questions, continue the conversation by email or message, arrange an in-person meeting in the photographer’s city (for example, at a café in Wrocław), or schedule a Google Meet call.

This doesn’t commit you to booking. It’s simply an opportunity to make sure everything feels right and that you’ll be comfortable trusting the photographer with your wedding day.

4. Review the contract

Ask to see a sample contract, if one is publicly available, and request a version prepared specifically for your wedding. This gives you a chance to check the terms, payment schedule, deliverables, and other important details before making a commitment.

💡Tip: If the photographer offers temporary reservations, you can ask them to hold your date while you compare offers and make your decision. At SL Wedding Photo, we can arrange a temporary 48-hour hold upon request, giving couples time to consider their options without unnecessary pressure.

5. Sign the contract and pay the booking deposit

If everything suits you, let the photographer know you’d like to confirm the booking. The next steps are signing the contract and paying the booking deposit.

At SL Wedding Photo, the non-refundable booking deposit is 20% of the selected package price. We send you our business bank account details and payment instructions, along with the contract signed by us. You can then sign it electronically or print it, sign it, and send us a scanned copy.

Important: Your wedding date is considered reserved only after the contract has been signed by both parties and the booking deposit has been paid, in accordance with the booking terms. Until then, the date remains available for other couples to book.

How to Safely Book a Wedding Photographer in Poland

A well-prepared wedding photographer should have:

  • At least two camera bodies and two lenses, even if the wedding is photographed by a single photographer.
  • Cameras that support simultaneous photo recording to two memory cards, if this feature is available on the model.
  • Backup lighting equipment, memory cards and batteries.
  • A procedure for copying and backing up wedding photos to at least two separate drives after the wedding.

You can ask your photographer how they protect your photos against equipment failure, damaged memory cards or data loss. A professional should be able to clearly explain their backup procedure.

These precautions help reduce risks and give you greater peace of mind when choosing a wedding photographer.

💡Photographing a ceremony in a Catholic church in Poland requires the photographer to hold a certificate confirming completion of the relevant training. Make sure your photographer has one and inform the priest in advance that a photographer will be present during the ceremony.

Communication Before the Wedding

Couples usually book their wedding photographer a year to a year and a half in advance, when many details of the wedding day schedule are still undecided.

At SL Wedding Photo, we stay in touch throughout the planning process in case any questions come up. Closer to the wedding day, usually around a week and a half beforehand, we send a detailed questionnaire to confirm the schedule, our exact working hours (for example, 12:00–00:00), and any special moments you’d like us to capture, such as a champagne tower or photographs with your wedding car.

Allow Enough Time for Transportation

If we need to travel between locations during the wedding day, we always build extra time into the schedule to account for traffic, finding parking, and setting up our equipment.

For example, if you’re getting ready at one location and your church ceremony starts at 14:00, with a journey that normally takes 20 minutes, we plan to leave around 13:20 rather than 13:40. This gives us a comfortable buffer in case of delays.

Keep this in mind when planning your wedding photography coverage. If you’d like us to photograph the preparations, make sure there’s enough time to capture them before we need to leave for the ceremony. Your schedule should account for travel time as part of the photographer’s working hours.

FAQ: Rezerwacja fotografa ślubnego

What is the difference between a zadatek and a zaliczka?

Our contract specifies a zadatek (booking deposit), which is non-refundable under the terms of our agreement. In Poland, a zadatek and a zaliczka have different legal implications, so it’s important to check which one is specified in your contract.

What if we want to cancel our booking?

If you decide to cancel, please contact us so we can arrange the termination of our contract. The booking deposit is non-refundable in accordance with the agreed terms.

Can we book a wedding photographer without meeting in person?

Yes, we often arrange bookings entirely online, without an in-person meeting. If you’d prefer to talk first, we can also schedule a Google Meet call. However, if you’re happy to book without a meeting, that’s absolutely fine with us.

Can the same date be booked by multiple couples?

As a husband-and-wife photography team, we offer both individual photographer packages and a two-photographer package. If you book one photographer, the date may still be available for the other member of our team. If you book both of us, the date is fully reserved for your wedding.

What if we don’t know our exact wedding day schedule yet?

That’s completely normal. Many couples book us a year or more in advance, before all the details have been finalized. We stay in touch throughout the planning process and contact you closer to your wedding date to confirm the schedule and other important details.

Can we change our wedding photography package later?

The possibility of changing the scope of your photography package depends on the selected offer, the photographer’s availability, and the terms of your contract. It’s best to discuss any changes with us as early as possible.

What happens if we change our wedding date?

Please contact us as soon as possible. Transferring your booking to a new date depends on our availability and the terms of the contract.

How can we check whether our booking is confirmed?

Once all the booking formalities have been completed, keep a copy of the contract signed by both parties and proof of payment. These documents confirm the agreed terms and can be referred to if any questions arise.

Can you issue an invoice?

Yes, upon request, we can issue an invoice for both the booking deposit and the remaining balance, regardless of whether the payment is made by bank transfer or in cash.

Can we pay in instalments?

We don’t offer instalment plans. Our booking terms require a 20% deposit, with the remaining balance payable by bank transfer no later than two days before the wedding or in cash on the wedding day.

Can the price change after booking?

No. Once the contract has been signed and the booking deposit has been paid, the price of your selected package is fixed according to the agreed terms.

What if we’d like to extend our wedding photography coverage?

Each of our packages specifies the cost of additional photography hours in the contract. You can decide on the wedding day whether you’d like us to stay longer, depending on the agreed terms and our availability.
